To amend the Presidio Single School Hybrid Model for FY 2021/2022 to include, “Presidio will follow the most recent recommendations of the Center for Disease Control, Arizona Department of Health, and Pima County Health Department regarding social distancing and mitigation precautions to the best of our ability while staying in compliance with Arizona Statutes.”

Discussion Items:

Ms. Garza presented the 2020-2021 Food Service Procurement Review which was competed on September 8, 2021. The AZ Department of Education Health & Nutrition Services Division congratulated Presidio School for there being no findings in their review.  However,  a Technical Assistance was provided regarding  “Small Purchase” procedures which stated, “When obtaining quotes, specifications must be provided to the vendor to ensure that price quotes from multiple vendors are in response to the exact same items or services.  Specifications must be documented and retained to detail the significant history of the procurement.”  Ms. Garza added that Ms. Chapman, Business Manager, was instrumental in ensuring that Presidio School did not have any findings.  When conducting an internal audit of the documents provided to the Department of Education by another employee she discovered that incorrect data and an outdated Procurement Policy had been provided.  She immediately contacted the reviewer and received permission to resubmit documentation.  She was given a day extension to provided revised information and worked an extended day to make sure to meet every requirement to their satisfaction.

Principal’s Report

 

  1. A-F Letter Grade

Letter grades are on hold for the time being, due to a decision by the Governor.  Thus far, there is no word as to if/when letter grades will be reinstated.  The State is obtaining baseline data to determine current student abilities.  This may or may not be a factor when reviewing letter grade reinstatement

  1. ASBCS 5 Year Audit

The Board has already had lengthy discussions about the ASBCS audit.  The purpose of this discussion is less about the findings and more about how Presidio is putting procedures in place to increase transparency in communication.

  1. Transparency in Communication
    1. Presidio organized the Public Drive (where all electronic files are stored) to make it easier for documents to be accesses and the Directors of Curriculum and Instruction have created spreadsheets to monitor expectations.
    2. Presidio’s Business Office revised the Procurement Policy and is working to create job descriptions/expectations for vendors/projects, with accompanying rubrics, in order to more effectively communicate Presidio’s needs and evaluate bids provided by vendors.
    3. Presidio’s IT department is working on general email addresses to provide to external parties (e.g. vendors, stakeholders) in order to ensure that more than one person at Presidio receives the information.
